Reminders that get through and clients who show up

An appointment that doesn't show is an hour that doesn't come back. A timely reminder over WhatsApp, with permission and with a template, is the cheapest thing you can do about it.

Ask anyone who works with appointments what the worst moment of their day is and they'll tell you the same thing: four in the afternoon, the patient didn't show, didn't let you know, and you had two other people who wanted that slot. At an event venue it's worse: the visit that didn't happen was the only one that week for that date. At a gym, the trial class nobody showed up for was the chance at a new member.

Nobody skips out of spite. They forget, something comes up, they couldn't find a way to let you know. The reminder exists for all three.

Why a WhatsApp reminder works

The reminder call gets picked up less and less. Nobody opens the email in time. A traditional text message doesn't let them reply. WhatsApp is the channel people actually read, where they can answer "I'll be there" or "can I move it to 5?" with one tap, and where the conversation already exists because that's where they booked.

But there are rules. According to Meta's pricing documentation, messages the business starts outside the 24-hour service window are sent with a template and billed per message delivered; the ones that go inside a conversation the customer opened are not. And to write to someone you need their permission, as the WhatsApp Business messaging policy says. A reminder done right respects that: it goes out with an approved template, it goes to someone who gave permission and it goes at a reasonable hour.

How Atenta does it

When Atenta books an appointment over WhatsApp, it confirms it in the same conversation and the appointment lands in your app, linked to the client. The types of business that book appointments come with the utility templates "appointment confirmed" and "appointment reminder" out of the box; you submit them to Meta for approval from the app, with their status shown exactly as it is: under review, approved or rejected with the reason.

You send the reminder yourself from the client's conversation, with one tap: if more than 24 hours have passed since their last message, Atenta offers you the approved template instead of free text, because that's the only thing Meta allows in that case. If the client replies, the conversation reopens and Atenta carries on: it confirms, or alerts you so you move or cancel the appointment from the app and the slot opens up for someone else.

One detail that matters: nothing Atenta sends on its own goes out between nine at night and nine in the morning. A message at midnight annoys more than it helps.

What does go out on its own

There are reminders Atenta sends without you having to remember, because they have a clear date and a clear rule:

  • Pending payments, when you sell on credit or in installments: the payment reminder goes out with its utility template on the day it's due, and if the client replies "I already paid," it stays to be confirmed until you confirm it.
  • Unconfirmed orders: if an order was left half done, Atenta follows up with the client after the number of hours you set.
  • Satisfaction survey, a couple of hours after delivering an order or after a call: a rating from 1 to 5. The good ones go to your reviews link; the bad ones reach you before anyone else.

The no-show that does let you know

Half the no-show problem is that the client can't find a way to let you know, or feels awkward about it. When the channel is a chat that answers instantly, letting you know is easy: "I can't make it today." Atenta logs it and passes it to you tagged; you move the appointment to another open slot or cancel it from your app. A slot freed up in time can be taken by someone else; one freed up at four in the afternoon can't.
