Answering in seconds or in hours: what really changes

It's not a matter of courtesy. When a customer writes, how long the reply takes decides whether they buy from you or from the next one on their list.

There's a question almost nobody in a small business asks: how long do we take to answer WhatsApp? Not on average, for real. Tuesday at two in the afternoon, with the kitchen slammed. Saturday at nine at night. Sunday, when nobody's there.

The honest answer is usually "it depends on who has the phone." And that "it depends" is the problem.

What goes on in the customer's head

When someone writes "do you have the family-size pepperoni pizza?", they're not asking a question. They're about to order. They're hungry, they have the phone in their hand and, almost certainly, another pizzeria open in the next chat over. If you answer in twenty seconds, they order from you. If you answer in forty minutes, you're answering someone who already had dinner.

Same with the woman asking about an apartment: if it takes hours to find out whether it's still available, in those hours she saw three others. And with the guy who wants to know if you take walk-ins: if nobody answers, he goes where somebody does.

It's not that the customer is impatient. It's that WhatsApp taught them things get resolved on the spot, and a business that doesn't answer feels closed even with the shutter up.

What not answering costs

We're not going to give you a figure because we don't have one and we're not going to make one up. But you can do the math yourself, with your own numbers, in five minutes.

Open your WhatsApp Business and count the conversations from the last week that went unanswered for more than an hour. Now look at how many of those ended in a sale. Compare with the ones you answered on the spot. The difference between those two ratios, multiplied by your average ticket and by the weeks in a year, is what not answering costs.

Then add what doesn't show: the customer who never wrote again, the one who left a lukewarm review, the one who told her cousin "they never answer there."

Why more people doesn't fix it

The instinctive answer is to put someone on replying. It works during office hours, if that person has nothing else to do. But WhatsApp doesn't respect shifts: it comes in while the cashier is ringing someone up, while the agent is with another customer, while the owner is driving. And hiring someone just for the night and Sunday chat doesn't pencil out for a small business.

Automated menu replies don't fix it either ("press 1 for hours, 2 for prices"). The customer doesn't want to navigate a menu; they want to ask the way they'd ask a friend and get answered the same way.
